Job Description

Job Responsibilities

Program/Contract Execution Support

  • Provide interface support in assisting Program Managers with timely and direct action item resolution with FLIR Departments including Quality, Engineering, Manufacturing, Service, Supply Chain, Contracts, and Compliance, as well as with the Customer and their agents. Customer communications authorization will be provided as needed, and upon prior approval by the PM

  • Maintain, monitor and report on high-level, “dash board” Program schedule to include items such as meeting dates, contract deliverable dates and requirements, and other key contract dates

  • Support PM in the development and submission of regular and/or periodic processes/procedures, reports, and/or other deliverables IAW applicable contract requirements (CDRLS, DIDs, etc), such as Monthly Program and Status Management Reports (PS&M) and comparable contract deliverables

  • Participates in weekly Program Management Status Meeting, recording and tracking meeting attendees, minutes and action items.

  • Complete other tasks, as required and authorized by the PM, necessary to execution of scope, company and regulatory compliance, and IAW business and operational needs

Bid & Proposal Development

  • Support Program Management and Business Development departments in development of FLIR response to Requests for Proposal (RFPs), Requests for Information (RFIs), and Commercial Quotes

  • Support Program Management in tasks associated with the development of cost and technical volumes

  • Interface with multiple FLIR departments and facilities, vendors, and subcontractors, as required, in developing and organizing Statements of Works (SOWs), as well as collecting and organizing third-party documentation

Financial Data Collection and Reporting

  • Support PM and Finance departments in collecting and organizing data for the purpose of conducting regular financial analysis and status reporting on Programs.

  • Participate in weekly PM Team Forecast Planning Meeting(s), including keeping and documenting minutes, tracking and completing action items, and supporting PM and finance in providing updates to financial forecast files and documents

  • Maintain PM Team Status Reporting tracking file (MS Excel), in coordination with PMs and Director of Programs

Customer Service Support

  • Serve as PM liaison to FLIR Service department(s) to monitor, report, and advise on warranty and maintenance related actions, under contract with FLIR Program Management Team

  • Provide status reporting to PM and/or Customer regarding status on RMAs and Warranty actions

Event Planning and Coordination

  • Manage and coordinate FLIR-internal planning meetings, Program meetings (internal and/or customer facing), as well as other varieties of on-site and off-site visits and meetings held on behalf of the PM Team

  • Maintain PM Team Group Calendar (MS Outlook)

  • Submit visitor requests and monitor request approval status with FLIR Global Trade Compliance (GTC) department, on behalf of PM Team

  • Serve as PM liaison to FLIR Facility Security Officer (FSO) in support of classified meeting and visitor requests

  • Interface and coordinate with facility Administrative-Support personnel to ensure proper resources are in place for meetings, events, and site-visits

Core Competencies

  • Ability to successfully complete assigned work product(s), with professional quality, in a timely manner, and with minimal direct management supervision

  • Excellent time management skills and demonstrated proficiency for prioritization

  • Strong communications skills, both verbally and in writing, while working with a diverse group of team members and stakeholders (both FLIR internal and external)

  • Strong working knowledge of FLIR Systems Corporate and Integrated Solutions operations, processes and procedures.

  • Ability to track, status, report and brief PM on multiple complex activities

  • Working knowledge of Government Acquisitions process, Federal Acquisitions Regulation (FAR/DFAR), and specific Program contract documents

Education and Experience: (Qualifications and/or Requirements)

Required

  • Bachelor’s Degree (or equivalent) in Business Management, Professional Studies, and/or Engineering technical discipline

  • Strong communication skills, both oral and written.

  • Ability to obtain and maintain Security Clearance

  • Proficiency with Microsoft Office Products to include: Outlook, Excel, Word, PowerPoint,

  • Familiarity with MS Project

Preferred

  • Master’s Degree (or equivalent) in Business Administration, Professional Studies, and/or Engineering technical discipline.

  • 5+ years of professional experience employed in Government Acquisitions, Defense and Aerospace Industry, Corporate Finance, Contracts Management, and/or Systems Engineering or comparable technical discipline

  • Professional certification in Program Management discipline (PMI or equivalent)

  • Defense Acquisition University (DAU) Certification in Program Management, Contracting and/or Engineering (level 2)

  • Demonstrated experience monitoring and briefing leadership on program status

  • Demonstrated experience in Earned Value Management (or similar reporting) and understanding of project/program financials

  • Experience coordinating Technical and Administrative staff in furtherance of Program resource allocation planning and management

  • Proficiency with Microsoft Office Products to include: Project, Access, OneNote, and Visio

  • Proficiency with MRP/ERP systems, specifically SAP
